Contract of Sale Procedure

  1. Complete ALL necessary documents.
  2. Get signatures from both parties as required.
  3. Promptly deliver or email a copy of Sales Contract, Disclosures and Deposit Check (or copy if KW is holding funds) to the Buyers attorney.
  4. Maintain a set of the contract documents, attorney review letters and all other  correspondences in your own file or load into your Dotloop Account.

Deposit Funds

If possible, have the Buyers Attorney hold all funds.

If KW is to hold the deposit funds:
  1. Make check payable to “Keller Williams Realty”.
  2. Complete a “MCA Escrow Deposit” form.
  3. Leave the “MCA Escrow Deposit” form with check attached in the mailbox behind Kelly's desk
  4. You are required to deposit escrow funds within 4 days.

Submit Contract Documents to MCA


Create a “Greensheet” upon completion of Attorney Review
  1. Go to myKW, select HOME then choose “Greensheet”.
  2. From the KW|Greensheet page, choose “Create Greensheet” and follow the instructions.

Submit Contract documents to MCA. (only after your Greensheet is submitted)
  1. Complete a “Contract of Sale Checklist”.
  2. Email the “Contract of Sale Checklist” and copies of ALL documents on the “Contract of Sale Checklist” to the MCA.

Email To MCA Instructions:

  1. Attach all documents as 1 PDF file to an email.
  2. Enter the Property Address and Agent Name in the subject line. Example Subject Line: 123 Main St - Joe Smith
  3. Send email to: contracts@kellerwilliamsnj.com

Closing a Contract Of Sale

Complete a Commission Statement
  1. A copy of a Commission Statement is in your agent folder in the MC Intranet. Go to MC Intranet, select Market Center > Documents > Agent Folder > Agent Name > Commission Statement.
  2. Send a copy of the Commission Statement to both attorneys a week before closing.

Deposit Funds (only if KW is holding funds)

  1. Complete a “MCA Escrow Withdrawal” form 5 Days prior to closing.
  2. Leave  “MCA Escrow Withdrawal” form in the mailbox in front of MCA's desk.
  3. The check will be left in your mailbox. Remember to take it to closing.

At Closing

  1. Give a Commission Statement to each attorney.
  2. Collect your commission check. Be sure it matches the amount on your Commission Statement.
  3. Request a copy of the HUD Statement.

Processing Commission Check and Getting Paid

  1. Complete a “MCA Closing Checklist” as required.
  2. Attach a copy of the Commission Statement.
  3. Attach the HUD Statement.
  4. Attach the commission check.
  5. Leave items in steps 1-4 in the mailbox at front of MCA's desk.
Items 1-5 MUST be completed ENTIRELY to process commissions. The processing time takes 5 business days.
